What is TalentOcean?

TalentOcean is a platform designed for industry professionals to showcase their career stories, apply for job and access career learning and development resources.

Recruiters and People Managers

TalentOcean is a platform designed for recruiters and people managers to efficiently find and manage top talent using talent (skills-based).

How do I subscribe tor TalentOcean?

You can view all Free, Monthly or Annual Plans for Professionals or Recruiters by visiting https://talentocean.co/services.

Once subscribed, you will receive an email with a link to Activate your Account on TalentOcean.

 

I forgot my password. How do I reset it?

Click on the “Forgot Password” link on the login page, enter your registered email address, and follow the instructions sent to your email to reset your password.

Can I register using my social media accounts?

No. Not at this time.

How do I update my profile information after registration?

If you need to change your name, please reach out to the TalentOcean Team. Unfortunately, you will not be able to change your email address on the Platform – if you wish to do so, you must register with a new email address.

What should I do if I don’t receive the email confirmation?

How do I set up my company’s profile on TalentOcean?

First, subscribe as a Recruiter. When you Activate your Account, navigate to "Preferences" and complete your Company Profile.

Can multiple recruiters or managers from my company use the same account?

You can share Jobs and associated Candidates or Applicants on the Platform. You must create a “secret code” in your Recruiter Profile. As your colleagues Subscribe and Activate their Account, they should use the option to register with an existing Company. From the list provided, select the Company to join and insert the "secret code" provided. This will ensure that any Jobs or Professionals associated with your Company will be available to other Company Users on the Platform.

Can I link my TalentOcean account with my company’s HR system?

As a Recruiter, you have the Option to Download your Connections as a CSV file, for inclusion in your external HR, ATS or CRM systems.

How do I manage user permissions within my team?

TalentOcean is configured to allow users from the same company to share Jobs and Professionals / Connections. There are no common user permissions settings for this feature.

What should I do if an employee leaves the company?

Use the in-App support process to request that the Account is closed.

What happens if I cancel my account?

If you cancel your account, you will retain access to the platform and its features until the end of your current billing cycle. After that, your account will revert to the free plan with limited features.

How do I delete my account?

Navigate to the Preferences section and click on “Delete My Account”, then follow the instructions.

What happens if I delete my account / cancel my subscription?

If you cancel your subscription, you will retain access to the platform and its features until the end of your current billing cycle. After that, your account will revert to the free plan with limited features.

Can I share my Plan with other team members?

You can share resources (Jobs and Professional Connections) between users in the same company on the Platform. You will not be able to share your Plan with other Users.

Can I change the Secret Code of the Company I used for my team members?

Yes, every Recruiter Account contains a secret code which is at the discretion of the User. Please note that secret codes are used when new company users have subscribed and are activating their account. The secret code provided is accessed in real-time - if it changes and the new company user tries to use an outdated secret code, they will be rejected.

Where can I view a list of team members I have invited to TalentOcean?

Navigate to Your Connections page, where you can view all team members along with any applicants who have applied to your Job Postings or anyone who has been invited to complete assessments.

What payment methods are accepted?

TalentOcean accepts various payment methods, including credit cards, debit cards, and PayPal. Specific payment options may vary depending on your location.

How often will I be billed?

Paid plans are charged on a prorated basis from the 1st day after an initial trial period and on the same day of each month thereafter. Add-ons are billed once, at the time of purchase.

Can I get a refund if I cancel my plan?

No, we do not issue refunds for canceled services. Please refer to the “Refund Policy” section in our terms of service or contact our support team for specific details.

How do I view my billing history and invoices?

You can view your billing history and download invoices from the “Account” section.

How does the free trial work?

Register with no upfront payment and explore all features as part of a 30-day free trial. After that, the service starts at $10/month for Professionals and $50 for Recruiters and People Managers.

I was invited to TalentOcean to apply for a job, do I have to pay for a subscription?

No, all you need to do is register to apply. There is no payment information required to register, and you will be enrolled in the 30-day free trial.

After you apply or the 30-Day free trial period expires, you can request to have your account deleted or subscribe to one of our low-cost subscriptions.

During the 30-Day free trial, we encourage you to explore all features of TalentOcean.

What Plans are available on TalentOcean?

Once subscribed, you will receive an email with a link to Activate your Account on TalentOcean.

 

How do I choose the right plan for my needs?

If you want to take advantage of TalentOcean's Learning Center, Assessments, Profile Builder, My Story Page Builder or apply for Jobs - the Explore for Professionals plan is for you.

If you are representing a company in a hiring capacity or you are a member of a recruitment agency and you want to take advantage of TalentOcean's invite system, Assessments for Candidates, Candidate Profile Downloader,  Job Board Listings (internal and public) or if you want to invite others to come to TalentOcean to take Assessments to determine suitability for hiring or promotions - the Explorer for Recruiters plan are for you.

Can I try TalentOcean before committing to a subscriptionPlan

Yes, TalentOcean offers a 30-day free trial with access to essential features, allowing you to evaluate the platform before making a decision.

Do I need a credit card to register?

You will need a credit to subscribe for a Monthly or Annual Plan but will not need a credit to register for a Free Plan.

Any Monthly or Annual Plan that does not include an active credit card at the time of renewal will be downgraded to a Free Plan.

How do I upgrade or downgrade my Plan?

Plans allow full access to all features on the Platform. Once a Plan has lapsed, your Account will revert to the "Free Plan" and your credit allocations and access to premium features will cease. You can upgrade at any time and regain access to all premium features.

Can I cancel my Plan at any time?

Absolutely. You can cancel your Plan at any time with no penalties. For the Annual Plan, your access remains active for the full year, even if you cancel early.

Can I switch from the Monthly Plan to the Annual Plan?

Yes, you can upgrade to the Annual Plan at any time and start saving immediately. Additionally, you can downgrade to a Free Plan if you like.

Can I customize my Plan?

Both the Professional and Recruiter Plans contain monthly credit allocations. You can purchase further credits through the platform as needed.

What is a credit or add-ons that can enhance my TalentOcean Plan?

Credits are needed to perform premium actions on TalentOcean and Add-ons are the single purchase of one or more credits, separate from a Plan.

What are premium actions?

Premium actions for Professionals include:

How do I purchase additional features or services?

How do I use credits?

Every Plan includes a pre-defined allotment of credits that are displayed in the middle to upper right of your display screen and is consumed to reach the following predefined outcomes in TalentOcean:

What can I use the profile download for?

As a Professional, you can use your Profile download and share it with external agencies, such as recruiters, hiring agencies or other interested parties.

As a Recruiter or Hiring Manager, you can download multiple Profiles and produce them for review with your clients or teams.

How do I manage and track my add-on purchases?

Go to the “Account” section and review your previous purchases.

Will I lose downloads, assessments or invite credits? Do they expire?

No, credits will not expire as long as you have an active Plan on TalentOcean. All credits (received through monthly allocation or a one-time purchase) will carry-over to the next month and accumulate until you either utilize or close or account.

Can I purchase a single add-on or in bulk, outside my Plan allocation?

Absolutely. You may purchase single credits or a bundle of credits if your monthly allotment has reached “0” zero and additional credits are needed before the new monthly cycle or you simply need more credits to enhance the way you use TalentOcean.

Are there discounts available for bulk purchases of add-ons?

Yes – generally bulk purchases decrease by 5% per Item, depending on volumes.

Can I get a refund for unused add-ons?

No. Add-Ons remain available on your Account as long as you have an active Plan and are not reimbursed if your Plan is cancelled or closed.

Can I download my profile and assessment results?

Yes.

If I want to download attachments within job description, will that count against my download allotment?

No.

Are credits needed to download CVs or resumes?

No. If a Professional has uploaded a CV or resume AND the Professional has applied for your job posting, you can download the CV or resume directly from the View Details of the Applicant that can be found on the Applicant List page for the relevant Job.

How do I integrate add-ons with existing workflows?

As a Recruiter, you can navigate to Your Connections, apply a Filter and Export those Connections in a CSV File format, for external workflow use.

Can I get a demo of add-ons before purchasing?

Are there discounts available for bulk purchases of add-ons?

No at this time.

Are there hyperlinks in the download profile?

Yes. Place your mouse over the icon or text and press and hold the control and enter keys and you will be taken to the section or page of the linked content.

Can I purchase Add-On credit while on a Free Plan?

No. You must be on a Monthly or Annual Plan to purchase Add-Ons.

What is a Story Page?

A Story Page is a personalized, multimedia-rich profile that goes beyond the traditional resume or CV. It allows you to showcase your career journey, skills, ambitions, aspirations, hobbies, passions, and achievements in an engaging and dynamic way.

Can I customize my Story Page?

Yes! You can change the font and color of background and font and customize to match your personal brand. Every aspect of Your Story is written by you, using our intuitive, easy to access Story Builder.

How do I share my Story Page?

Your Story web page has a unique URL that you can share on social media, in emails, job applications or include in your digital portfolio.

Can I update my Story Page after it’s created?

Yes, you can update and modify your Story Page as often as you like, ensuring it reflects your latest achievements and goals.

Can anyone create a Story Page?

To create a Story Page, you must be a registered Professional on TalentOcean and have completed at least one talent assessment.

How long will my Story Page remain active?

As long as you have a paid Professional subscription, your Story Page will be active.

What is a Talent Board?

Within the Platform, the Talent Board lists all Professionals who have made their Profile public. It contains personally-identifiable information and a link to the individuals profile details.

Outside the Platform, the Public Talent Board lists all Professionals who have made their Profile public - anonymously. It does not contain any personally-identifiable information and visitors are encouraged to join TalentOcean to view the full details available.

How can I prepare for an assessment?

There are learning resources available in the Learning Centre section. This includes a full definition for each Talent and, where feasible, a full Study Guide. Coaching, Mentoring and Training are also available in the Learning Center.

Can I view sample questions before taking an assessment?

There are no sample questions per Talent – however, a good place to start is in one of the “Your First...” Assessments, which provide very general questions and answers, as examples of how Assessment Questions are formulated and presented.

How do I take an assessment?

You can directly access Assessments in the relevant Section and attempt them depending on your Assessment credits.

 

If you have been invited by a recruiter, you can Filter Assessment Providers in the Assessment section and attempt them, directly, in relation to requests or Jobs you have applied for.

Can I retake an assessment?

Retake policies are at the discretion of TalentOcean support. If you wish to retake an assessment, please raise a support request, available through the (!) Icon, available on any screen.

Can I request new talents or talent assessments?

You can suggest new talents or talent assessments through the support (I) icon at the top of every page.

Can I benchmark assessment results against industry standards?

The nature of TalentOcean Assessments is in providing the same set of questions, persistently. All Assessments are scored out of 60 and their are 15 questions in each one. This provides a "level playing field" for all Assessment Takers, as a Benchmark. All Assessments are scored out of 60 and their are 15 questions in each one.

How do I provide feedback on assessment results through the platform?

You can navigate  to the Feedback Page in your App - or you can raise any questions using the Support (I) Icon, found at the top of every Page within the App.

How can I view my assessment results?

Go to your Dashboard and review the Assessments Results on display - or Navigate to the Assessment page and review your Scores in the Talent List. The percentage score and time to complete for any Assessments you have completed are available on that screen. Clicking on your Score will open a pop-up window showing your Appraisal.

How are my assessment results used by recruiters or people managers?

Assessment results can be used in several ways by recruiters or people managers. Your individual and average Assessment scores are calculated for them, and it may form a part of their selection processes as they compare candidate or applicants.

What other information of mine does a Recruiter or People Manager have access to?

Aside from your Profile, Story (if it is activated) and Assessment Results, no other information is shared with recruiters or people managers when applying for a Job on TalentOcean.

Can I share my assessment results with people who are not on TalentOcean, like an employer or recruiter?

Yes - you can download your Profile or Assessment Results to share with external parties.

How long will my assessment results be available on my profile?

Results are available indefinitely for each completed Assessment.

How do I search for job postings on TalentOcean?

After logging in, navigate to the “Job Board” section. Use filters such as job title, location, and industry to find suitable job postings.

How do I apply for a job?

Before you apply for any Job on TalentOcean, please be aware that recruiters or hiring managers will then have access to your Profile. It is a good idea for you to complete that detail  as fully as possible, prior to applying for any Job on TalentOcean.

Click on the job posting you are interested in, review the details, and click “Apply Now.” Your Application, your Profile and your Assessment Results will be advised to the recruiter or hiring manager and you will receive a confirmation email.

Can I save job postings to apply later?

Unfortunately, there is currently no facility to “favourite” Jobs or Roles.

Can I track the status of my job applications?

Once a Job is applied for, it is the responsibility of the recruiter or hiring manager to advise you of any change in status of your application. If the recruiter rejects your application - or if the job is deactivated (unlisted), you will be advised via email.

How do I withdraw an application?

Navigate to the “Application” screen and select the Job you want to withdraw from. Select the Job and click on the “Cancel Application” button. The recruiter or hiring manager will be informed and you will receive a confirmation email.

What information is shown to a recruiter or hiring manager when I apply for a job or complete an assessment?

Recruiters or hiring managers will have access to your Application, your Profile and your Assessment Results.

How do I create a job post?

After logging in, go to the “Create Job Post” section, fill in the job details and click “Create Draft.”. After creating the Draft, review your Job Listing before submitting for Publication.

How can I manage my job posts?

Navigate to the “Manage Job Posts” section to view, edit, or archive your job postings.

It is important to note that Job Posts cannot be deleted once they have been Published. This is due to auditing regulations.

How can I view / manage job applications?

Navigate to the “Manage Applications” section to review, shortlist, or reject candidates.

How do I collaborate with other managers on job posts?

Members of the same Company on TalentOcean have access to the same Jobs - and Applicants - by default.

Can I set automated responses for job applications?

No. You will be alerted to any new Applicants for your Published Jobs.

How do I handle bulk applications?

You can use the Send Invites section to submit personalized and bulk invites for your Job Posts - or simply to invite participants to take Assessments.

What information can I see from the applicant?

Once a Professional has applied for your Job, you will have access to view their limited Profile - and to download their Assessment Results or Professional Profile. You may also be able to view their Story page, if it is active.

How do I shortlist applicants based on their assessment results?

There is a Quick Note facility available for all of your Job applicants, for you to create and share your own notes internally, across your Company colleagues on the Platform.

How do I reject applicants?

When reviewing Your Connections, you can summarily reject them - you will need to provide a viable and valid reason for your Rejection notification which will be sent to the individual and copied to you on email.

Can I schedule interviews through TalentOcean?

Interview Functions are not available at this time.

How do I provide feedback to applicants through the platform?

The Platform does not provide a Messaging facility. You will have access to allow you to connect with an Applicant directly, via email.

Can I record observation notes for anyone who has applied for one of my Job Posts or accepted my invitation to take assessments?

Yes. One various pages throughout TalentOcean, you will find buttons to write or view Quick Notes on the applicant. NOTE: You will only be able to view Quick Notes that you have created.

How do I optimize my job posts to attract the right candidates?

Jobs are listed both within and external to the Platform, available to share with 3rd parties.

Can I duplicate an existing job post?

Duplicating Job entries is not available, at this time.

How do I close a job post once the position is filled?

If you wish to unpublish a Job, navigate to your Job Sourcing page, locate the Job and set it to Archive.

How do I request coaching or mentoring?

Coaching and Mentoring is available through the Learning Center. Navigate to the Talent in question, then use the icons at the top of the Talent Description to request support.

What training resources are available?

TalentOcean offers a variety of training resources, including study guides, online courses, webinars, and workshops. Visit the “Training” section to explore and enroll in available programs.

How do I choose the right coach or mentor?

Once you have requested Coaching or Mentoring, a member of the TalentOcean team will reach out to you, to discuss your requirements in more detail.

Are there any costs associated with coaching or mentoring services?

Yes. Rates and Programs are discussed once you have requested Coaching or Mentoring, a member of the TalentOcean team will reach out to you, to discuss your requirements in more detail.

Can I schedule recurring coaching sessions?

Yes. Once you have requested Coaching or Mentoring, a member of the TalentOcean team will reach out to you, to discuss your requirements in more detail.

How do I identify employees who need coaching or mentoring?

Generally, an individual with a low-end score for any Talent Assessment may benefit from Coaching or Mentoring.

What learning resources can I offer to candidates?

Explore the Learning Center section to find various courses and programs that you can recommend or enroll candidates in.

Can I request coaching or mentoring for a job applicant?

No you cannot request Coaching or Mentoring for a Job Applicant. You may suggest that they seek Coaching or Mentoring and guide them on how to apply within the Platform.

What training programs are available for my team?

How do I measure the effectiveness of coaching, mentoring and training sessions?

A good gauge for measuring effectiveness is to request that the individual re-sit Talent Assessments, which can be achieved by reaching out to the TalentOcean Team, via the Support (I) icon.
